We are hiring for a Mid-level Administrative Assistant to support our Aerospace Engineering department. Duties will range from managing the workings of the office to working with software and documentation, to expense report management.


 


Daily duties may include maintaining program personnel rosters, planning and expensing business travel, maintaining office supplies and resolving facility or custodial issues, facilitating and arranging meetings and conferences, using personal computer tools to assist in development of papers/reports, presentations and databases, SharePoint maintenance and manipulation, and provide support relating to office operations and established policies and procedures. Other duties could include maintaining staffing files, incoming and outgoing correspondence, telephone calls, including handling of sensitive and proprietary information.

Required:
*Experience as an Administrative Assistant, preferably supporting technical colleagues.
*Must meet eligibility requirements and obtain Interim Secret Clearance to start.
*Experience with expense reports submission and reconciling credit card bills.
*Strong MS Office applications to include Word, Excel, PowerPoint, and Outlook
*Experience managing multiple calendars using Outlook; setting up Zoom and conference calls.
*Manage shared vacation & out of office calendars (like SharePoint or Outlook)
*Manage office space via interfaces with Facilities for layout changes, repairs, and maintenance.
*Manage office equipment including machines, conference room IT equipment and telephony.
*Knowledge of the Visitor Request process and systems.


*HS Diploma or equivalent
